Caerix Pacific – Website Privacy Policy

About this policy

This policy explains, in plain terms, how Caerix Pacific Pty Ltd (ABN 75 696 163 167) ("Caerix", "we", "us") handles your personal information. Small businesses can be exempt from the Privacy Act 1988 (Cth), but we've chosen to follow its Australian Privacy Principles anyway. For our New Zealand customers, we also follow the New Zealand Privacy Act 2020.

It covers information we collect through our website, caerix-pacific.com, and when you deal with us by email, phone or in person. Caerix sells and supports CNC machines in Australia and New Zealand as an authorised Taikan dealer.

"Personal information" means information that identifies you, or could reasonably identify you, such as your name, email address or phone number.

What we collect and how

We only collect what we need to answer your enquiry, sell and support your machine, and run our business. That usually includes:

  • Contact details: name, business name, job title, email, phone and business address.

  • Enquiry details: the machines you're interested in, what you make, your timeline and budget, and whether you're interested in finance.

  • Sales and support records: quotes, orders, invoices, delivery and installation details, machine serial numbers, warranty and service history.

  • Website data: pages visited, device and browser type, approximate location and how you found us (see Cookies and analytics below).

  • Photos or video of your machine or workshop, but only with your permission (for example, for a case study).

We collect most of this directly from you: through website forms, email, phone, LinkedIn or other social media, trade shows and site visits. Sometimes we receive it from others, such as Taikan passing on an enquiry from your area, or someone who referred you to us. If someone else gives us your details, we'll tell you when we first contact you, and you can always ask us where we got them.

We don't ask for sensitive information (such as health or political views). You can browse our website without telling us who you are, and you can make a general enquiry using a first name only. To quote, deliver or support a machine, though, we'll need your real details.

If we receive information about you that we didn't ask for and don't need, we'll delete it.

Why we use it

We use your information to:

  • respond to enquiries, prepare quotes and arrange demonstrations

  • supply, deliver, install and commission machines

  • provide warranty, servicing, spare parts, training and technical support

  • register your machine with the manufacturer for warranty purposes

  • connect you with a finance provider, if you ask us to (we'll tell you if we receive a referral fee)

  • send you news and offers, if you've agreed to receive them (see Marketing below)

  • improve our website, products and service

  • keep business records and meet our legal, tax and accounting obligations.

We only use your information for these reasons, or a related reason you'd reasonably expect, unless you agree or the law allows or requires it. We don't sell personal information.

We don't use automated systems to make decisions that significantly affect you.

Who we share it with

We share your information only when needed for the purposes above. This may include:

  • Taikan, the machine manufacturer, for warranty registration, technical support and spare parts

  • freight, customs and installation contractors who deliver and set up your machine

  • a finance provider, only if you ask us to arrange finance

  • our IT and software providers, such as our website host (Squarespace), email and file storage (Google), and AI-assisted tools we use to draft and organise documents

  • our accountant, lawyers and insurers

  • government agencies, where the law requires it.

We ask the businesses we work with to keep your information secure and use it only for the job we've given them.

Overseas

Some of these recipients are outside Australia. Taikan is based in China. Our website host, email, analytics, advertising and software providers mainly store data in the United States, and may also use data centres in other countries.

Privacy laws in China and the US differ from Australian and New Zealand law, and authorities there may be able to access information. We take reasonable steps, including agreed terms, to make sure these recipients protect your information. We'll only pass your details to Taikan for warranty, support and spare parts. We'll tell you before we do and ask for your OK.

Marketing

We only send marketing emails or texts if you've agreed, if they relate to our existing business dealings with you, or if you've publicly listed your work email for business enquiries and the message is relevant to your role. Every marketing message says it's from Caerix and includes an easy way to unsubscribe. You can also opt out at any time by emailing us, and we'll stop within 5 working days.

Apart from the advertising tools described under Cookies and analytics, we don't sell or give your details to other businesses for their own marketing.

Cookies and analytics

Our website uses cookies (small files stored by your browser). Some are needed for the site to work. Others help us understand how visitors use the site, using Squarespace Analytics and Google Analytics.

We may also use advertising tools from Google and Meta (Facebook and Instagram) to show our ads to people who have visited our site, and to measure whether those ads work. These tools collect information such as your device, browser and the pages you visit. Google and Meta may link this to your Google or Meta account and use it under their own privacy policies. We don't upload our customer lists to them.

You can block or delete cookies in your browser settings, and control ad personalisation in your Google and Meta account settings. Blocking cookies may affect how parts of the site work.

Keeping it safe

We store information electronically in password-protected business systems, using two-step login where available, and limit access to people who need it. Paper records are kept secure at our premises.

We keep information only as long as we need it. Financial and tax records are generally kept for 7 years, as the law requires. Machine service and warranty history may be kept for the working life of the machine, so we can keep supporting it. After that, we securely delete or de-identify it.

If a data breach happens that's likely to cause you serious harm, we'll tell you as soon as we can and explain what you can do. Where required, we'll also notify the Office of the Australian Information Commissioner (OAIC) or, for New Zealand customers, the NZ Privacy Commissioner.

Your rights and how to contact us

Access and correction. You can ask to see the personal information we hold about you, or ask us to fix it if it's wrong, out of date or incomplete. Just contact us. We'll respond within 20 working days and won't charge you to make a request. If we can't give you access or make a change, we'll explain why in writing and tell you how to complain. If we don't correct something, you can ask us to attach a note of your view.

Complaints. If you think we've mishandled your information, please contact us first so we can put it right. We'll acknowledge your complaint within 5 working days and aim to resolve it within 30 days. If you're not satisfied, you may be able to complain to the Office of the Australian Information Commissioner or, for New Zealand customers, the Privacy Commissioner.
